Privacy & Digital Personal Data Protection Notice

Scholars SSC Academy processes digital personal data for defined purposes connected with enquiries, demo classes, counselling, admissions, educational services, follow-up, security, legal obligations and optional communications or advertising choices described below.

1. Personal data we may collect

Depending on the form or service, this may include name, phone number, email address, location, class or qualification, course/exam interest, centre preference, enquiry details, source/campaign information, communication and follow-up records, admission/payment information where applicable, and limited browser/device/security information needed to operate or protect the website.

2. Enquiry, counselling and CRM follow-up

When you submit an enquiry, the information may be stored in our website database and configured CRM/lead-management systems so that we can respond, assign a counsellor, arrange a demo or counselling session, maintain follow-up history, record lead status and assist with admission or service delivery. This operational use is kept separate from optional future promotional communication and separate from advertising/remarketing permission.

3. Optional promotional communication

Promotional communication for future batches, offers or events is optional and is not created merely because you submit a required enquiry/privacy acknowledgement. Where a separate opt-in is offered, you may choose promotional communication by phone call, SMS, WhatsApp and/or email and may withdraw it later.

4. Optional advertising, audience matching and remarketing

Contact identifiers are not treated as automatically approved for advertising audiences merely because you submit an enquiry. If separately permitted, they may be used for advertising measurement, customer/audience matching or remarketing on configured platforms such as Google Ads, Meta. Browser advertising preferences are managed separately through Privacy Choices.

5. Analytics and website tracking

Optional website analytics and advertising tags are controlled through the Privacy Choices layer when they are configured through this plugin. Essential/security storage can remain active where technically necessary. Tags inserted by other themes/plugins must be separately audited and connected to the same preference signal if they are to be controlled by it.

6. Children and parent/guardian information

A person under 18 is treated as a child for this DPDP workflow. Where child personal data is required, the preferred route is parent/guardian-first. Protected forms suppress optional promotional and advertising permissions when the submitter identifies as below 18 and record the parent/guardian declaration or verification state. A simple declaration or email-control check is not represented as full age/identity verification.

7. Service providers, CRM, advertising and AI/automation systems

We may use configured systems acting for defined purposes such as website hosting, forms, CRM, communications, security, analytics, advertising or approved automation/AI workflows. A new CRM, company/brand, advertising platform or AI provider should be added to the internal register before personal data is sent to it, with its purpose and data categories reviewed.

External processors are expected to use appropriate safeguards and to process data only for the authorised purpose. Any cross-border processing remains subject to applicable Indian legal restrictions and the organisation’s vendor review.

8. Retention

Ordinary enquiry/lead data is reviewed against a configured retention period of approximately 365 days from the relevant interaction, unless a longer period is needed for an ongoing relationship, legal obligation, dispute, security purpose or another lawful need. Retention settings are policy controls and should be reviewed against the actual business/legal requirement before deletion.

9. Your privacy rights and withdrawal choices

You can request access to relevant information about your personal data, correction, completion or updating, erasure where applicable, withdrawal of consent, stopping promotional communication, stopping advertising/remarketing audience use, grievance redressal, or nomination-related assistance where applicable.

10. Security

We use technical and organisational safeguards such as controlled administrative access, protected connections, security logging, backups and other measures appropriate to the systems used. No internet or storage system can be guaranteed risk-free, so safeguards and processor access should be reviewed as systems and risks change.

12. Updates to this notice

If this notice changes materially, the version and review date should be updated. A new purpose that needs fresh permission should use a new notice/consent step rather than treating continued website use or an old enquiry as blanket consent.
